Position Descriptions:

Club Director - (voting member, 3 year term) 

The Club Director leads overall direction of club and serves as the club’s primary contact.  Any player/parent/coach conflicts will be overseen by the Club Director.  The Club Director, in conjunction with the Coaching Director and coaching staff, shall be responsible for the formation of the club teams as determined by player ability, age and position.  Work closely with the Coaching Director to establish club calendar and tournaments entered by each team. This is a compensated position. 

Coaching Director - (voting member, 3 year term) 

The Coaching Director is responsible for hiring/firing of coaches, determining compensation and addressing coach needs and/or concerns.  The Coaching Director will serve as liaison between coaching staff and the Board.  The Coaching Director will be responsible for establishing the schedules and entering all teams into tournaments. This is a compensated position. 

Fundraising Coordinator - (voting member, 1 year term) 

The fundraising coordinator's responsibilities include leading fundraising efforts for the club throughout the year with the assistance of other CVC Board members.  They also help to promote CVC within the surrounding communities.  This is a compensated position.

President - (voting member, 1 year term)

The president in general directs the business and affairs of the club. The President shall preside at all meetings of the Board of Directors and prepare an agenda of items to be discussed at each meeting.  Duties will also include coordination of registration process and recommend policies and procedures when necessary. The President will also be responsible for coordinating and overseeing committee work.  The President will be responsible for addressing questions regarding the club.

The Vice President will assume the Presidency after 1 year as VP.

Vice President - (voting member, 1 year term)

The Vice President will assume all President responsibilities in the absence of the President.  Vice President will work closely with Secretary preparing necessary documents at beginning of season and maintain updated rosters throughout season.  It is anticipated that the Vice President will assume the Presidency after one year as vice president.

Secretary - (voting member, 1 year term)

The Secretary shall be responsible for recording and distributing meeting minutes, and managing all communication as required.  Minutes shall be distributed no later than 2 weeks following board meeting. They shall also maintain historical record of board members, meeting minutes, agendas, by-laws and policies within a master binder that is passed to the next elected Board Secretary. All documents should also be posted on the club website. 

Treasurer - (voting member, 2 year term)

The Treasurer shall be responsible for the finances of the club by recording financial transactions, developing accurate annual budget that must be approved by the Executive Board, monitoring of incoming and outgoing expenses, and reviewing and approving expenses such as tournament registrations and club reimbursements, A current budget with detailed income and expenses shall be available at each monthly board meeting.  The Treasurer is also responsible for monitoring participant fees and resolving past due payments.  

At Large Members (3-5) - (voting member, 1 year term)

At large members shall be responsible for duties as assigned by the Club Director and/or Board President. These include activities such as coordination of fundraising activities, maintaining the club website, organizing tryouts and making sure uniforms are ordered/received.

President Emeritus - (non-voting member, 1 year term)

Former President who provides guidance to the incoming President/Vice President.

Advisors to the Board - (non-voting member)

Advisors to the Board shall act in an advisory position as needed and attend board meetings so that they can provide guidance/insights on club matters. Typically advisors might include previous board members or other individuals with specific experience that will be valuable to the Board.

Team Parent - (non-voting member, 1 season term) 

Liaison between Team Representative, coaches & players/parents.  Responsible for communication of information to individual parents/players amongst team relating to calendar of events, fundraisers, volunteer opportunities and other club activities.  Also responsible for coordinating team pictures, carpooling and other team related issues. (Note: an individual cannot serve as Team Parent and Board Member at the same time.)

Board Elections:

Election of officers will be voted upon every year within the members of the Board.  Elections will be held every year or as needed when members resign from the Board or performance requirements are not being met.  Officers may be nominated or may volunteer for the position for election. Uncontested positions will be voted within the Executive Board. In the event of a contested position or when more than one applicant is being considered, an open meeting will be held and all attendees may ask questions and vote. No election is final without a majority consensus vote from all board members.

Board Meetings:

Board Meetings to be held the second Sunday of every month unless prior notification. Attendance is expected allowing 2 absences of regularly scheduled monthly meeting per season.  Any absences should be notified to the Board prior to the meeting. Additional meetings may be scheduled as needed but will not require the same attendance as regularly scheduled monthly board meetings. A quorum shall consist of a majority of the members of the Board.  A quorum must be present before business can be transacted or motions can be passed.  A voting determination shall consist of a majority of the votes of the members of the Board.

Board Duties:

The Board will be expected to participate as needed in fundraising activities, volunteer coordination, support requirements of the program and general requests of the Board.
